Marketing Coordinator

Location: This full-time position is based in Nashville, TN requiring in-office presence at our Franklin, TN office, Monday-Friday | 8:00 am – 5:00 pm.

About the Role: The Marketing Coordinator plays a critical role in supporting Wood Financial Group’s seminar and marketing programs. This position helps coordinate lead-generating educational workshops designed to introduce prospective clients to our firm and financial planning services. This position combines event preparation, event follow up, prospect communication, coordinating workshop deliverables, CRM management and marketing operations support to ensure a seamless experience from registration through post-event follow-up.

Marketing Event Support

– Support Workshop Coordinators with event execution by preparing seminar materials including name badges, marketing collateral, event folders, RSVP lists, presentation materials, route sheets, sign-in sheets, and seating assignments.
– Process, verify, and maintain prospect and attendee data within Salesforce, ensuring accurate lead tracking and post-event follow-up workflows.
– Manage dedicated event phone line and email inbox, responding to attendee questions and providing customer support
– Prepare and send confirmation letters and event communications to prospects who register for educational seminars.
– Respond to prospect and attendee inquiries regarding event registration, scheduling, and seminar logistics.
– Assist with tracking seminar registrations, attendance, and prospect conversion data within the CRM.
– Assist Workshop Coordinators with post-event follow-up processes to ensure prospects move efficiently through the consultation scheduling pipeline.

Marketing Operations Support

– Coordinate and oversee the preparation and mailing of reminder cards to seminar prospects who schedule appointments with advisors.
– Maintain spreadsheets and internal reports tracking marketing activities and metrics
– Manage workshop and marketing material inventory levels and proactively initiate replenishment in advance as needed throughout all WFG offices.
– Provide general support to the CMO and Marketing Manager on ongoing marketing initiatives
– Support additional marketing initiatives and operational tasks as assigned.
– Attend team meetings and marketing planning sessions

Compliance & Confidentiality

– Follow all company policies and regulatory requirements to ensure confidentiality and security of client information.
– Maintain records in accordance with compliance guidelines

Qualifications:

– Bachelor’s degree in marketing, communications, business, or a related field
– Minimum of 2-3 years of experience in marketing, events, or administrative support
– Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, PowerPoint, SharePoint)
– Ability to adopt new technologies easily; familiarity with CRM platforms, specifically Salesforce and Monday.com is a plus.
– Strong critical thinking and problem-solving skills, with flexibility to adapt in a fast-paced environment.
– Customer service mindset with professional phone and email etiquette.
– Must be well organized, can handle multiple assignments, and pay close attention to details.
– Excellent written/verbal communication skills.
– Problem solver who takes initiative and thrives in fast-paced environments. Comfortable working independently while contributing to a collaborative team.
– A proactive and trusted team player who takes initiative and brings new ideas and solutions when issues, blockers, or challenges arise.
– Demonstrated ability to handle sensitive information with discretion.

Hours are: 8:00AM to 5:00PM, Monday through Friday.
